Major features

Upgrade to  Core 4.5.7

As part of this minor release, the team in Open LMS upgraded the platforms and reviewed the code of version 4.5.7, adding the corresponding fixes, improvements, security patches, and important backports.

Tenant-Level Guest Access Configuration

Site administrators managing multi-tenant Open LMS environments can now enable or disable guest access per tenant, offering greater control over authentication and course visibility.

Key Highlights

  • Tenant-level control:
    A new setting, “Enable guest access for this tenant,” is available under Tenant settings → Authentication.
    This setting is disabled by default and can be toggled independently for each tenant.

  • Scoped guest access:
    Guest access is now restricted to courses within the tenant’s category and subcategories.
    Guests in one tenant cannot access or view courses from another tenant.

  • Course-level permissions preserved:
    Guests can only access courses where guest access is enabled at the course level and where tenant-level guest access is active.

  • Tenant isolation and security:

    • Cross-tenant course visibility and navigation are blocked.

    • If guest access is disabled for a tenant, all guest access is prevented, even if enabled at the course level.

    • Site-level and tenant-level settings remain independent to avoid overrides.

How to Use

  1. Navigate to Site Admin → Manage tenants.

  2. Open a tenant’s Authentication tab.

  3. Toggle Enable guest access for this tenant as desired.

  4. Only tenants with this option enabled will show the “Access as a guest” button on their login page.

  5. Guest users will only access courses with guest access enabled within that tenant.

New in Personalized Learning Designer (PLD)

Cohort Membership Check Condition

A new Cohort Membership Check condition is now available in the Personalized Learning Designer (PLD).
This enhancement allows instructors to define rule conditions based on a user’s cohort membership, enabling more targeted and personalized automated actions within a course.

Key details:

  • Teachers can select one cohort at a time from the list of visible cohorts in the course.

  • The condition includes a parameter to check whether a user is or is not a member of the selected cohort.

  • The cohort condition can be combined with other existing conditions using AND/OR logic.

  • The interface clearly differentiates between Group and Cohort membership.

New Completion Tokens for Emails and Alerts

New completion-related tokens are now available when configuring email and alert actions in PLD.
These tokens enable instructors and administrators to include completion information directly in their notifications, making communication more relevant to learner progress.

Key details:

  • Added tokens:

    • Course completion date

    • Activity completion date

  • These tokens can be used in Send email and Display alert actions.

  • If the related course or activity has not yet been completed, the token value will be empty.

  • The enhancement allows messages to dynamically reference when a learner completes a course or activity, improving personalization and clarity in automated notifications.

Bulk Migration from Profile-Based Cohorts to Dynamic Cohorts

A new Bulk Migrate Cohort option is now available under Site administration → Users → Accounts → Dynamic Cohorts.
This feature allows administrators to migrate multiple profile-based cohorts into dynamic cohorts at once, simplifying the transition to the new dynamic cohort system.

How to use:

  1. Create or identify a user profile field used in existing profile-based cohort rules.

  2. Go to Dynamic Cohorts and click Bulk Migrate Cohort.

  3. Select one or more cohorts to migrate and enable the ruleset option.

  4. Confirm the migration — the process will be queued and run in the background via the scheduled task tool_dyncohort\task\bulkmigrate.

  5. Once completed, the selected cohorts will appear as dynamic cohorts.

Benefit:
This enhancement saves time and reduces manual effort by allowing bulk migration of cohort rules in a single operation.

Forum Activity Now Supported in Centralized Content Management (CCM)

The Forum activity is now supported in Centralized Content Management (CCM), enabling administrators and instructors to create, manage, and distribute forums across multiple courses with ease and consistency.

Key Capabilities:
Create a Master Forum – Set up a single forum to use as a template across multiple courses.
Deploy Replica Forums – Distribute copies of the Master Forum to various courses while ensuring uniform settings and structure.
Easily Update Forums – Make changes to the Master Forum and apply updates automatically to all linked Replicas.

Expanded AI Provider Support and Centralized Configuration

In the 4.5 MP5 release, Open LMS introduces a new global configuration page for AI providers, giving site administrators more flexibility and control. In addition to OpenAI, three new AI providers Anthropic, Deepseek and Gemini, are now supported.

From this centralized settings page, administrators can:

  • Select one or multiple AI providers to use.

  • Choose which AI-powered features to enable, including the Tiny AI Editor and AI Text-to-Questions.

This new setup streamlines the activation and management of Open LMS AI features, saving time and reducing complexity.

To access this settings page, navigate to: Site administration > Plugins > Local Plugins> OpenLMS AI

User Count and Service Data Reports (New Feature)

New reporting tools for User Count and Service Data are now available in the 4.5 MP5 release. These reports provide clear and detailed insights to help you monitor platform usage and manage your subscription more effectively.

You can access them under:
Site Administration > Open LMS > My Account

Service Data Report

In the Service Data section, you will find detailed information about your file storage usage, broken down into specific categories such as:

Course files, Auto backups, Database backups, Manual backups, And more. This data is automatically updated daily.

User Count Report

The User Count tab displays usage based on your contracted user model: Monthly Flex Seats, Annual Unique Logins or Monthly Unique Logins

For Monthly Flex Seats:

  • Current active user count

  • A graph showing the monthly peak vs. contracted seats

  • A detailed table of active users including last login information to help support user management

  • Daily historical data including averages and peak usage (with filters available)

For Annual Unique Logins:

  • Total logins to date

  • Contract start and end dates

  • A visual trend graph of usage

  • Daily historical login data
