Offboarding your Open LMS site

While we’re sad to see clients leave us, we realize that it does happen. As your contract with Open LMS comes to a close, we recommend that you capture a final backup of your site prior to shutting down. 

We can provide one full backup of the current production site, including the Moodledata (.tar format) and DBbackup (sql.gz format). These files will be uploaded to our SFTP instance. You will then receive the necessary credentials, file path, and a deadline to download and verify the data before it is permanently deleted from the Open LMS environment.

If you intend to standup another site using this backup, the code must be obtained from Moodle HQ https://download.moodle.org/ Any 3rd party modules that were in use can be obtained from the vendor or downloaded via https://marketplace.moodle.com/ and installed into the new code base.

Offboarding Steps

  1. Inform your Account Manager or Open LMS Support when you would like to coordinate capturing your final site backup.
    • This can happen prior to the official end of your contract date if desired.
    • If you do not require a site backup, please confirm that you are happy for us to delete the site without it.
    • Open LMS will reach out to initiate the offboarding process if we have not made previous arrangements prior to your contract end date.
  2. Before we proceed to capture the final site backup, we will place your site into Maintenance Mode to prevent end users from logging in, changing any data, or adding new content while still allowing Site administrators to login.
    • Once maintenance mode has been enabled for the final site backup to be captured, it cannot be reactivated.
  3. We will notify you when the backup is ready for download from your SFTP site and provide credentials to access those files, along with a deadline to confirm those files have been retrieved.
  4. After you have downloaded and verified the backup provided is complete, please confirm in the offboarding ticket that you have done so.

Frequently Asked Questions

How do I download my full site backup?

You will need a piece of software called an SFTP client installed on whatever machine you are using to download the files. We recommend Filezilla, but there are loads of them out there, available for free. 

Once you have it installed, you can set up a connection using the details that our team provides. That will then give you access to the file location where you can then select and download the files.

Note that the link we provide to the SFTP password will only work once, and times out after 7 days, so if you are unable to get the password in time, we will need to create another for you.

 

Can I have more than one site backup?

Only a single, final backup is provided as part of the offboarding process. Additional backups may be arranged for a fee. 

 

Is there a deadline to download my full site backup?

Yes. We must delete the data within a specified period as defined in your contract, unless confirmation has been given that the final backup has been successfully downloaded, verified, and that we can proceed with final shutdown procedures in advance of the termination date. Once deleted, we cannot obtain that data ever again.

 

Can I regain front end access to the site once the final backup process is underway? 

The backup provided during offboarding is intended to be a final snapshot of your site's data. If access to the site is restored after, that backup immediately becomes obsolete. Once we coordinate a date to disable site access and capture a full backup, we cannot reenable front end access to the site unless additional backups have been negotiated. It is important for any content migration or report exports be completed before the final backup occurs.
